This is a pivotal role supporting clients and fee-earning teams by providing a high-quality, timely, and comprehensive renewals service. Our client values the importance of flexibility within the workplace; you will be offered a hybrid working model (2 days office based per week) with flexible working hours to fulfil a 35-hour week, as well as a generous benefits package.


Key Responsibilities of the Renewals Administrator:


  • Process client instructions for patent and trademark renewals, adhering to strict deadlines.
  • Send reminders to clients for fee payments related to renewals of patents and trademark licenses.
  • Invoice clients and process renewal fees.
  • Maintain accurate information in the database, including reminders, deadlines, and fees.
  • Collaborate with Partners and fee earners to ensure smooth workflow.
  • Produce clear, accurate, and professional email correspondence with clients.


What we are looking for as a Renewals Administrator:


The ideal candidate is someone who prides themselves on attention to detail, is diligent with their time keeping and organisation, and can work effectively to key deadlines. You will be a professional and confident communicator but calm and measured in approach. We are ideally seeking someone with prior exposure to an office environment, ideally an administrative role, however open to those who display the right personal skills and attributes.


Ideal Experience:


  • Previous office experience in a professional services environment is desired but not essential. We are open on this experience; it may be from a technical role, or something administrative or customer service based.


Key Personal Attributes:


  • Exceptional attention to detail and accuracy.
  • Ability to work to important deadlines and recognise the important of this.
  • Strong prioritisation and organisational skills.
  • Effective team player but with the ability to work independently.
  • Excellent written and verbal communication skills, a professional style of communication is essential for this role.
  • Proficient in Microsoft Office and general systems.
  • You will present a calm, measured, and detailed approach under pressure.
