Job Title: Project Director

Job Summary:

We are seeking a highly experienced Project Director to lead our team at Principal. Global Events. The successful candidate will be responsible for overseeing the planning, execution, and successful delivery of our high-profile events, ensuring they meet client expectations and organisational goals.

Key Responsibilities:

  • Event Planning and Strategy:
    • Develop comprehensive event strategies aligned with client objectives and organisational goals.
    • Create detailed project plans, end-to-end project management from creative concept and development through initial briefing to reconciliation.
    • Conduct risk assessments and develop contingency plans to address potential issues.
  • Team Leadership and Management:
    • Lead, motivate, and manage a team of event planners, coordinators, and support staff.
    • Assign tasks and responsibilities, ensuring clear communication and coordination among team members.
    • Provide guidance and support to team members, fostering a collaborative and high-performance environment.
  • Client and Stakeholder Relations:
    • Serve as the primary point of contact for clients, maintaining strong relationships and ensuring satisfaction.
    • Liaise with internal and external stakeholders to ensure alignment and smooth execution of event plans.
    • Regularly update clients and stakeholders on project progress, addressing any concerns or changes promptly.
  • Supplier and Vendor Management:
    • Source, negotiate, and manage relationships with suppliers, vendors, and contractors.
    • Ensure that all third-party services meet quality standards and are delivered on time and within budget.
    • Oversee the procurement process for event-related goods and services.
  • Budget Management:
    • Develop and manage event budgets, ensuring cost-effectiveness without compromising quality.
    • Monitor expenses and financial performance throughout the project lifecycle.
    • Prepare financial reports and ensure all financial documentation is accurate and up to date.
  • Logistics and Operations:
    • Oversee the logistical planning and execution of events, including venue selection, transportation, accommodation, and catering.
    • Ensure compliance with health and safety regulations and other legal requirements.
    • Coordinate event setup, execution, and breakdown, ensuring smooth operations and attention to detail.
  • Post-Event Evaluation:
    • Conduct post-event evaluations to assess success and areas for improvement.
    • Gather feedback from clients, attendees, and team members to inform future events.
    • Prepare comprehensive reports summarising event outcomes, including financial performance and client satisfaction.

Requirements:

  • Bachelor's degree in Event Management, Business, Marketing, or a related field.
  • Proven experience (10+ years) in event management or project management, with at least 3 years in a leadership role in an event agency.
  • Strong understanding of event planning and management principles, including budgeting, logistics, and supplier management.
  • Excellent leadership, organisational, and problem-solving skills.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
  • Exceptional communication and interpersonal skills, with a client-focused approach.
  • Proficiency in project management software and tools.
  • Good/advanced working knowledge of the MS Office, Drop Box, Cvent, Adobe Photoshop.
  • Creative problem solver, resourceful, team player.
  • Calm and flexible approach to handling pressure and stress.
  • Highly organised with excellent time management skills to handle multiple events and meet strict deadlines.
  • Will be required to travel overseas and oversee the company's larger, high-profile events.
  • Ability to work remotely to support multiple time zones, if required.
  • Ambitious and proactive.

Preferred Skills:

  • Experience with large-scale events, such as conferences, exhibitions, or corporate events.
  • Strong network of industry contacts and suppliers.
  • Experience with digital and hybrid event formats.
  • Strong communication skills with the ability to influence and negotiate.
  • Presentation skills.
