Job Summary:

We are seeking a highly organized and experienced Operations Coordinator to join our team at Fusion People Ltd. The successful candidate will be responsible for managing incoming calls, workforce planning, and reactive maintenance work coming through from external clients.

Main Responsibilities:

  • Scheduling work across stated contracts
  • Reacting to emergencies and overseeing engineer attendance
  • Planning efficiencies, location, and response time improvements
  • Scheduling PPMs and WAFs to subcontractors
  • Taking ownership of workload daily
  • Diagnosing technical abilities and faults to determine P code application
  • Handling customer complaints or queries via various communication channels
  • Managing completion of PPMs and reactive tasks on Maximo
  • Managing Soft Service Contractors, including window cleaning, security, grounds, and gardens, pest control
  • Issuing engineers' uniforms
  • Producing monthly performance reports
  • Managing contract performance schedules
  • Chasing subcontractors' reports and schedules
  • Achieving team performance targets and ensuring SLAs are met

Requirements:

  • IT knowledge: MS Office, CAFM Systems
  • Facilities Management experience
  • Experience working in financial performance penalties
  • Strong organizational skills and attention to detail
  • General knowledge of Intranet services
  • Ability to work as part of a team or under own initiative
  • Good communication skills

Essential:

  • Previous experience in a customer-facing role
  • Excellent communication skills and team working ability
  • Ability to work in a fast-paced environment, multitask, and make effective decisions quickly
  • Experience working in financial performance penalties
