Office Administrator

Retirement Villages Group is seeking a skilled and organized Office Administrator to join our team at Castle Retirement Village in Berkhamsted, Hertfordshire.
The ideal candidate will provide exceptional support to the General Manager and residents, ensuring a smooth and efficient running of the Reception area.
Duties:
- Answering incoming calls, taking messages, and dealing with enquiries face to face and by email.
- Dealing sympathetically and efficiently with resident's queries, following procedures and reporting them to the Management team as required.
- Assisting with administrative tasks such as poster creation, letter writing, and preparing welcome packs for residents.
- Printing invoices and processing payments on the front desk through an EPOS till system.
- Controlling the issue and recording the return of all keys.
- Managing guest room bookings.
- Assisting with procurement, auditing, and ordering stationery, consumables, and equipment.
- Ensuring that resident and communal property issues are reported promptly to the maintenance staff or appropriate contractors.
- Managing packages, logging delivery notes, maintaining order systems, and handling PO and invoice management.
- Assisting with producing and distributing resident correspondence.
- Building strong relationships with residents and demonstrating empathy for their needs and requests.
- Performing other duties commensurate with the role.
Requirements:
- A mature outlook, excellent telephone manner, and a flexible approach to duties.
- Confident, friendly, and courteous, providing a professional first impression.
- Excellent organizational skills.
- Proficiency in MS Office and MS Excel.
- Attention to detail and problem-solving skills.
