Job Summary
This position provides administrative support to the Elliott Group staff, including the Vice President of Global Service, Regional Directors, Service Parts Director, and Global Sales Director.
Key Responsibilities
- Coordinate Quarterly GS Staff Meetings (Domestic and International):
- Research venue/event site options.
- Assist team members with travel arrangements and lodging.
- Organize meeting breakfast, lunch, and dinners.
- Prepare invitation letters for out-of-country visitors and business introduction letters for Elliott Group employees requesting a visa.
- Organize company-wide meetings and events as requested.
- Review monthly invoice statements of all charges and fees associated with travel.
- Assist in the preparation of materials and arrangements for Board of Directors meetings with other EEE entities.
Support GS Staff:
- Complete a variety of administrative tasks for the Vice President, Regional Directors, Service Parts Director, and Sales Director, including managing incoming calls and correspondence.
- Renew executive memberships and subscriptions annually.
- Manage active calendars of appointments and travel schedules.
- Coordinate and schedule meetings on behalf of the Vice President, GS staff, and other executives.
- Process invoices and expenses, including the preparation of purchase requisitions, purchase orders, accounts payable vouchers, and expense management.
- Serve as a representative for the company to outside business agencies.
- Act on behalf of the Vice President in the community, including charities, community outreach programs, and local schools.
Requirements
- A minimum high school education plus 7-10 years of relevant experience, or an associate's degree plus 5 years of executive assistant experience, is required.
- Strong professional communication skills (verbal and written) are required.
- Global and cross-cultural experience is strongly preferred.
- Proficiency with online calendars and Microsoft Office products is required.
- Previous experience exercising discretion and confidentiality with sensitive company information is required.
- Must be organized and adept at handling multiple changing priorities in a high-stress atmosphere.
