Outpatient Clinic Coordinator

We are seeking a highly organized and customer-focused Outpatient Clinic Coordinator to join our team in the Cardiology Department at Oxford University Hospitals NHS Foundation Trust. As a key member of our team, you will play a vital role in ensuring the smooth operation of our outpatient clinics, providing excellent administrative support to our clinicians and patients.
About the Role
Key Responsibilities:
- Coordinate the preparation of patient notes, ensuring all necessary information is available for clinic appointments.
- Liaise with medical records and staff to obtain referral letters and diagnostic results.
- Ensure accurate and timely booking of clinical procedures, using knowledge of clinical procedures and booking systems to resolve conflicts and minimize patient journeys.
- Communicate effectively with patients, carers, and healthcare staff, conveying changes to appointments and providing clear explanations for any movement.
- Maintain high levels of customer service, delivering compassionate excellence in all interactions.
- Provide accurate and timely entry of clinical and demographic information into clinical database systems.
- Sort and action incoming post, using knowledge of National and local waiting-time standards to ensure compliance.
- Use EPR functions to locate and list patient appointment arrangements, arranging patient transport/translators as required.
- Participate in the covering of the reception area, welcoming patients and ensuring they are checked in and out of clinic in a professional and courteous manner.
