Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team in Swindon or London. The successful candidate will provide comprehensive administrative support to the Head of UK Policy and Public Affairs and Head of UK Communications.

Key Responsibilities

  • Deliver a full range of administrative duties, including diary management, planning, and coordination of internal and external meetings.
  • Coordinate UK and internal business travel and accommodation arrangements.
  • Manage emails, correspondence, and identify urgent actions, directing correspondence accordingly.
  • Process invoices and purchase orders for the departments and issue good receipts.
  • Closely liaise and collaborate with other Assistants and Personal Assistants internally and externally.
  • Order IT and office supplies as required.

Requirements

  • Proven extensive administrative and office support experience with the ability to prioritize and manage multiple tasks seamlessly.
  • Excellent organizational skills with a high level of attention to detail.
  • Excellent oral and written communication skills, with the ability to interact with senior management and stakeholders of all levels.
  • Discretion and trustworthiness with extreme confidentiality; able to handle confidential information.
  • Reliable, proactive, and confident, with the ability to work independently and as a team player.
  • Flexible and adaptable in approach to work, with the ability to deal with short notice changes under time pressure.
  • Excellent working knowledge of Word, Excel, PowerPoint, SharePoint, MS Teams, and SAP.
