Job Title: Administrative Support Specialist for Education Authority


About the Role:


We are seeking an experienced and organized individual to provide administrative support within our Maintenance department. As an Administrative Support Specialist, you will be the initial point of contact between our Senior Maintenance Managers/Helpdesk Manager and external stakeholders, including principals, board members, officers from other boards, and the general public.


Key Responsibilities:



  • To act as the primary liaison between the Maintenance team and external clients, responding to queries and providing timely updates on maintenance-related matters.
  • To manage incoming and outgoing correspondence, drafting responses and/or forwarding to the appropriate officer.
  • To establish and maintain accurate filing systems for the Maintenance officers, ensuring easy access to relevant documents.
  • To prepare and compile materials for the Maintenance department, including reports, letters, and other documents.
  • To design and create databases, spreadsheets, and other documents using various software packages.
  • To assist in the preparation of quotations and tenders for maintenance-related services.
  • Helpdesk Operator:

    • To respond to all Helpdesk calls, emails, and faxes, ensuring that all communications are logged and actioned appropriately.
    • To operate Helpdesk software, monitoring customer use and software performance, and informing Maintenance of required actions.
    • To provide a professional Helpdesk service at all times, keeping customers informed of the progress of issues logged on the Helpdesk.
    • To complete the daily printing of all Manhattan works orders.
    • To contact Board contractors accordingly to calls logged on the Manhattan Helpdesk.

Requirements:


To be successful in this role, you will require excellent communication and organizational skills, with the ability to work independently and as part of a team. You will also need to possess basic computer skills and experience with Microsoft Office software.


Compensation:


The estimated salary for this position is £25,000 - £30,000 per annum, depending on experience.
