Job Summary:

We are seeking a highly organized and detail-oriented Clerical Officer to join our team at Portsmouth Hospitals University NHS Trust. As a key member of our administrative team, you will provide essential clerical support to facilitate the smooth operation of our medical services.

Key Responsibilities:

  • Provide efficient and effective clerical support to medical staff, ensuring accurate and timely preparation of medical records, correspondence, and results.
  • Ensure that clinics and theatre lists run smoothly, with accurate booking and communication of relevant information to interested parties.
  • Monitor and maintain accurate records, including patient information and medical correspondence.
  • Provide a professional and courteous service to patients, staff, and visitors, responding to telephone and in-person enquiries in a timely and efficient manner.
  • Assist with the maintenance of the Patient Admissions System and central filing system, ensuring accurate and up-to-date information.
  • Contribute to the achievement of waiting list targets by ensuring timely and accurate actions are taken.
  • Ensure adherence to Trust policies and procedures, including confidentiality and data protection.
  • Participate in the day-to-day activities of the department, providing support and guidance to colleagues as needed.

Requirements:

  • Excellent communication and organizational skills.
  • Ability to work accurately and efficiently in a fast-paced environment.
  • Proficiency in computerized systems, including the Patient Administration System.
  • Ability to maintain confidentiality and handle sensitive information.
  • Flexibility and willingness to adapt to changing priorities and deadlines.
