About the Role

We are seeking a highly skilled and organized Administrative Support Specialist to join our team at Lockheed Martin. As the first point of contact for visitors, you will play a key role in ensuring the smooth operation of our office by managing a variety of administrative tasks.

Key Responsibilities:

  • Front of Office Support: Serve as the primary point of contact for visitors, conduct safety/security briefings, and issue passes.
  • Coordination and Scheduling: Coordinate interviews at our East King Street office, as well as meetings for the Managing Director both at East King Street and the Naval Base.
  • Medical Clinic Management: Organize and manage onsite medical clinics, maintain and update the ESH medical database.
  • Security and Utilities: Act as the main point of contact for security systems and utilities at East King Street.
  • Inventory Management: Manage stock of security forms, passes, and office consumables (IT equipment, stationery, refreshments).
  • Cleaning and Maintenance: Oversee cleaning contractors and handle on-site tasks as required.
  • Fire Safety: Act as the onsite Fire Warden.
  • Mail and Package Management: Manage incoming and outgoing goods and mail.
  • License Management: Ensure office licenses are up to date.

Requirements:

  • Administrative Experience: Prior experience in Administration, Reception, or a similar role.
  • Interpersonal Skills: Strong interpersonal skills with the ability to interact confidently with employees, visitors, and VIPs.
  • Communication Skills: Ability to create a welcoming and professional environment.
  • Problem-Solving: Self-motivated and capable of working independently, with a proactive attitude towards problem-solving.
  • Technical Skills: Proficiency in Microsoft Office Suite and database management.
  • Organizational Skills: Exceptional organizational skills with a keen eye for detail.
  • Communication and Multitasking: Strong communication abilities and adept at multitasking in a fast-paced environment.
