Fleet Operations Coordinator

Key Responsibilities:
  • Support the Head of Fleet Operations in sourcing vehicles, managing transfers, and overseeing end-of-lease returns.
  • Coordinate repairs and quotations, ensuring costs are allocated and recharged accordingly.
  • Collaborate with Directors to source parking spaces, prioritizing cost-effectiveness by leveraging private options when possible.
  • Maintain accurate records for vehicle allocations, return dates, permits, maintenance costs, and PCNs.
  • Manage the Drivers Matrix and files, conducting fleet audits and ensuring drivers have adequate insurance coverage.
  • Process PCNs, maintaining accurate records and flagging concerns to Directors.
  • Provide administrative support to the HR team during periods of annual leave and as needed.
  • Conduct vehicle spot checks, visiting offices as required.

Requirements:

  • Proficiency in computer skills, including Microsoft Office and Excel, with experience in mail merge.
  • A desire to develop a career in Fleet or Facilities Management.
  • Ability to drive, with a clean driving license, and confidence in operating various vehicles, including manual and automatic transmissions, within Greater and Central London.
  • Knowledge of the company is advantageous but not essential.
