Job Summary:

The Service Coordinator plays a pivotal role in providing exceptional customer service and supporting the Office Manager in ensuring all duties are completed accurately and within set timeframes. This position is crucial in meeting department targets and objectives in our fast-paced environment.

Key Responsibilities:

  • Act as the primary point of contact for customers, handling breakdowns and allocating jobs to engineers or mobile engineers, agreeing and recording expenditure limits, providing authorization numbers, and obtaining estimated times of arrival.
  • Update work carried out, identifying warranty or customer recharge items, and distinguishing jobs requiring future attendance.
  • Ensure customers are kept informed and up-to-date at all times, effectively addressing any complaints that may arise.
  • Coordinate parts deliveries to engineers and arrange for the collection of unused parts, conducting periodic stock checks as required and raising purchase order numbers for parts or services as needed.
  • Perform regular audits on filing systems to ensure rental documentation is complete and customers' insurance documentation is valid and up-to-date.
  • Ensure repair estimates are carried out promptly on assets returned to the yard, taking photographs of damage and advising customers of damage and costs as soon as possible.
  • Maintain accurate stock levels as per the AS400 Stock system and organize stock replenishment from DGTCS or local suppliers.
  • Obtain order numbers for recharges and pass them to accounts for invoicing in a timely manner.
  • Ensure adherence to Health and Safety regulations.
  • Perform other ad-hoc duties as advised by the Operations Manager, including controlling stationery orders and printer stock to meet business needs.
