We are seeking a skilled Bulk Planning Coordinator to join our team at Calor Gas in Belfast. As a key member of our Bulk Planning team, the successful candidate will be responsible for ensuring the accurate and timely management, planning, and delivery of bulk gas orders to our customers' sites.

Main Responsibilities:

  1. Develop and implement efficient and structured bulk delivery schedules using our digital logistics tools to maximize cost efficiencies.
  2. Identify and resolve issues, implementing solutions and evaluating their effectiveness to ensure seamless delivery operations.
  3. Manage bulk gas orders in line with customer demands, ensuring timely and accurate delivery.
  4. Monitor failed deliveries to proactively prevent future instances and maintain high levels of customer satisfaction.
  5. Ensure customer data is accurate and up-to-date, maintaining a high level of data integrity.
  6. Manage driver rotas and schedules in accordance with Driver Hours & Working Time directive, ensuring compliance and efficiency.
  7. Support other scheduling areas and functions within the department as part of a multi-functional team environment.
  8. Carry out trip reconciliation with high attention to detail and action discrepancies in a timely manner.
  9. Communicate effectively with customers, drivers, and other key members/departments to ensure seamless operations.
  10. Participate in on-call duties on a rotational basis to provide 24/7 support.
  11. Deal with customer queries and place bulk orders over the telephone, providing excellent customer service.
  12. Be willing to take part in project work, either departmental or cross-functional, to drive business growth and improvement.
  13. Complete departmental reporting as and when required, providing insights and recommendations for process improvement.
  14. Perform ad hoc duties as directed by your manager, demonstrating flexibility and adaptability.

Minimum Requirements:

  1. Proven track record of delivering excellent customer service and building strong relationships with customers and stakeholders.
  2. Strong attention to detail and ability to work accurately in a fast-paced environment.
  3. Team player with a can-do attitude, able to work collaboratively with others to achieve business objectives.
  4. Excellent planning and organizing skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  5. Knowledge of Transport and Working Time Directive Regulations, with the ability to apply this knowledge in a practical context.
  6. Proficient in the use of the Microsoft Office Suite, including Word, Outlook, and Excel, with experience using Business Central and CRM an advantage.
  7. Experience working towards targets (both personal and team targets), with a proven track record of delivering results in a timely and professional manner.
  8. Excellent communication skills, with the ability to communicate effectively with customers, drivers, and other stakeholders.
  9. Ability to work under pressure and multi-task within a busy logistics/transport environment, with a logical and methodical approach to work.
