We are seeking a highly skilled and organized Administrative Support Professional to join our team at H/Advisors Maitland.

Job Description

This role will provide administrative support to a team of 5-8 Associate Partners and Partners, including diary coordination, expense processing, monitoring publication websites, formatting RNS documents, and printing documents for meetings.

Responsibilities
  • Assist with diary coordination for the team
  • Process expenses and timesheets for the team
  • Monitor publication websites and newspapers for coverage, producing PDFs of coverage, collating coverage into a press book if requested
  • Format and release RNS documents to the London Stock Exchange (training provided)
  • Print and bind documents for meetings
  • Assist with the production and proofing of reports, presentations, and documents
  • Book restaurants or venues for on-site meetings, coordinating catering, AV, and collecting guests
  • Organize travel and hotel bookings via our travel agent
  • Schedule meetings on Zoom/Teams
  • Help the team with IT issues, liaising with our IT department
  • Book couriers
  • Manage internal events
  • Cover for the CEO when the EA is on holiday
  • Provide general administrative support to the office
Required Skills and Qualifications
  • 3+ years of experience as a Personal Assistant or Team Assistant
  • Advanced Microsoft Word skills, PowerPoint, Outlook, and Excel skills
  • Confident, articulate telephone manner
  • Proven organizational and diary management skills, including logistics such as travel, accommodation, visa requirements, etc.
  • Able to handle high volumes of work and fluctuating workloads
  • Able to work to tight deadlines
  • Excellent attention to detail
  • Ability to work independently and without supervision
  • Team player with excellent communication skills
  • Ability to learn new packages and adapt to new skills
