Job DescriptionWe are seeking a skilled Facilities Coordinator to join our London office. This role involves optimizing our workspace, supporting daily operations, and cultivating a vibrant workplace culture. As a key member of our Global Workplace Team, you will drive efficiency, manage vendors, and oversee health and safety compliance.
Key Responsibilities:- Ensure the smooth operation of our physical workspace, identifying and addressing operational inefficiencies;
- Support and guide colleagues on using our amenities to maintain a safe and functional workplace;
- Provide assistance to the Front Desk and Events team as needed, ensuring exceptional service delivery;
- Contribute to workplace projects, including our office relocation plan and sustainability initiatives;
- Maintain full operational efficiency by effectively managing planned preventive maintenance (PPMs) and addressing reactive needs;
- Oversee the repair and maintenance of furniture, equipment, and appliances;
- Address day-to-day landlord issues, including coordinating building access for PPMs and statutory visits;
- Assist with regular building walkthroughs to address maintenance issues and identify areas for improvement;
- Input into the London office's operational expenditure budget and quarterly forecasting;
- Cordinate local hard service vendors, including negotiating commercial terms and contract management;
- Identify opportunities for cost optimization and vendor rationalization;
- Manage site statutory compliance, including Fire Risk Assessments and Disability Discrimination Audits;
- Ensure colleague safety by maintaining an up-to-date list of first aiders and fire marshals, conducting regular checks, and organizing training as needed;
- Monitor compliance with The Workplace (Health, Safety and Welfare) Regulations 1992;
- At least 2 years of experience in Workplace/Facilities, supporting the running of an office space and coordinating technical services;
- Strong knowledge of health and safety in the workplace;
- Excellent English language skills, both written and spoken;
- Oustanding interpersonal and networking skills;
- Detail-oriented and data-driven, with a focus on informed decision-making;
