About the Role

We are seeking a highly organized and detail-oriented Contract Coordinator to join our Service Helpdesk team. As a key member of our team, you will be responsible for managing contracts, ensuring compliance, and providing exceptional customer service.

Key Responsibilities

  • Estimating process: logging, chasing prices, and inputting data to meet targets.
  • Finance process: approving invoices, issuing queries, and responding to clients to meet targets.
  • Reactive WIP process: reviewing with the Accounts Team and providing support.
  • PPM/Compliance process: reviewing site assets with the Accounts Team to ensure compliance with contract review maintenance planner reporting and issuing weekly asset no test reports.
  • Tracking contract statuses, deadlines, and renewals by maintaining a database or system to monitor contract details, ensuring compliance, and managing any changes or amendments.
  • Maintaining accurate records of all contracts and related documents, including organizing and archiving contracts for easy access and reference.
  • Serving as a point of contact for contract-related inquiries, interacting with internal teams, external stakeholders, and providing support or clarification on contractual terms and conditions.
  • Collaborating with various departments, such as legal, finance, procurement, and operations, to ensure alignment on contractual matters and facilitate smooth workflow.
  • Resolving issues or discrepancies that may arise during the contract lifecycle and proposing solutions to ensure contractual obligations are met.

Requirements

  • Previous experience in a help desk environment is essential.
  • Excellent organizational skills and exceptional time management.
  • Able to work effectively in a team and multi-manage tasks.
  • Self-motivator, methodological, and proactive.
  • Results/task-oriented attention to detail and accuracy.
  • Confident and polite manner.
  • Excellent customer service.
