Job Overview

We are seeking a highly skilled Executive Support Specialist to provide administrative support to designated Senior Managers and their teams in the Natixis NY Branch.

The ideal candidate will have a proven track record of executive assistant experience, ideally within the Financial Services industry.

Main Responsibilities
  • Diary Management: Extensive diary management of relevant Senior Managers, including scheduling meetings and appointments.
  • Travel Arrangements: Organising travel, arranging visa documentation, and monitoring timekeeping for assigned Senior Managers.
  • Expense Reporting: Completing and checking expense reports in a thorough and timely manner on behalf of assigned Senior Managers.
  • Committee Coordination: Organising, preparing, and attending the Commodities Markets executive committee, including coordination of supporting documents and KPIs, producing meeting minutes.
Required Skills and Qualifications

• Proven track record of executive assistant experience, ideally within the Financial Services industry.

• Excellent time management and organisational skills with strong interpersonal, verbal, and relationship management skills.

• Ability to meet multiple and/or unexpected deadlines in a demanding environment.
