Job Title: HRIS & Reporting Executive

Job Summary:

The HRIS & Reporting Executive will be responsible for the administration and maintenance of the HR Information System (HRIS), providing first-level support and reporting on all aspects of people-related data. This role will be pivotal in helping to optimize the HRIS, systemize and automate processes, and contribute to the development and implementation of people technology solutions across the People & Talent Development department.

Key Responsibilities:
  • Administer the day-to-day operation of the HRIS, including system configuration, data management, training, and first-level support to all users globally.
  • Create and maintain system documentation, such as user guides, standard operating procedures, and system configurations.
  • Collaborate with stakeholders to identify opportunities for system improvements and efficiencies and support the rollout of any new people systems or modules.
  • Proactively suggest new ways that the HRIS can support the globalization and automation of people processes.
  • Support data cleansing exercises, system migrations, integrations, field mapping, and the preparation of data for uploads.
  • Carry out bulk uploads, such as absence, salary, bonus, and promotions.
  • Maintain reporting lines, job relationships, and cyclical events, such as QC cycles and reviewers, annual holiday carryover, and bank holidays uploads.
  • Generate regular and ad-hoc reports to support HR analytics and decision-making, including but not limited to people data audits, salaries, leavers, wellbeing, benefits, R&Rs, and bonuses, QCs, headcount, immigration, and IR35 audits, EXCO reports, and Pircial on Demand.
  • Gather requirements and develop a suite of self-serve reporting/HR dashboards driving data availability and self-service to reduce the volume of ad-hoc requests.
  • Oversee the development and creation of reports and perform testing activities; investigate root cause of data discrepancies, accessibility issues, and technical issues.
  • Respond to third-party data and information requests, such as D&I surveys, pitch information, and due diligence questionnaires, liaising with Client Services and Responsible Business teams as relevant.
  • Ensure processes and data handling follow GDPR regulations and our Data Security & Privacy policies and guidelines.
  • Act as the conduit between People Advisory teams and Risk & Compliance in the completion of the annual SRA renewal and CILEX renewal.
  • Support the Reward & Benefits Manager with the production and analysis of data and UAT relating to cyclical activity, such as salary and bonus review and annual benefit selection window.
  • Draft communications, such as system upgrades and annual leave carryover.
  • Liaise with Finance, IT, and other business services departments on data that is cross-functional to maintain a high level of data integrity and collaborate with these departments to integrate HR systems with other business applications.
Requirements:
  • Previous HRIS experience (ideally SAP Success Factors), data analysis, reporting, and system troubleshooting.
  • Strong technical skills in report writing and dashboard creation with proficiency in Visio and PowerBI.
  • Ability to quickly master new software.
  • Detail-oriented with a commitment to data accuracy and integrity.
  • Highly numerate and analytical with advanced MS Excel capabilities and ability to handle and manipulate large sets of data.
  • Solution-oriented attitude that focuses on continuous improvement; ability to diagnose issues and clearly articulate solutions.
  • Knowledge of HR processes and data management best practices and regulations.
  • Discreet with the ability to handle sensitive and confidential information.
  • Manage workload efficiently, juggle multiple priorities, and meet deadlines.
  • Strong communication (both written and verbal) skills.
  • Ability to work independently and collaborate effectively with cross-functional teams.
