Owen Reed London is a top law firm in the heart of London, seeking a highly motivated and organized Junior Legal PA to join our Practice Group Support team.

About the Role:

The Junior Legal PA will work closely with our Practice Group Support team to provide administrative support to allocated stakeholders, including diary management, organizing meetings, and managing emails and correspondence.

The successful candidate will possess excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues and clients.

Key Responsibilities:

  1. Client-focused support, including regular meetings with stakeholders to discuss actions, priorities, expectations, and future planning.
  2. Diary management and organization of meetings, arranging necessary equipment and refreshments.
  3. Managing and prioritizing workload, delegating tasks where possible.
  4. Acting as liaison point for colleagues and clients.
  5. Screening calls and delivering concise messages for callback purposes.
  6. Assisting with client queries during stakeholder absences.
  7. Management of emails and correspondence.
  8. Preparing and submitting expenses.
  9. Paper and electronic filing.
  10. File opening and closing.
  11. Utilizing CRM as a key business tool, including managing, updating, reporting, and research.
  12. Providing comprehensive financial administrative support to stakeholders.
  13. Managing the end-to-end file management process.
  14. Assisting with business development follow-ups, sending emails and diarising reminders.
  15. Supporting marketing and business development activities, including meet and greets.
  16. Building and maintaining collaborative working relationships with all clients and colleagues.
  17. Embracing technology to improve ways of working and drive efficiencies.
  18. Ambassador for self-serve technology, role modeling its use.
  19. Supporting the wider PA team during absences or when required.
  20. Flexible approach to work pattern, accommodating stakeholder and client needs.

Requirements:

  • Experience working within a similar environment.
  • Excellent communication, organization, and interpersonal skills.
  • Confidence to liaise with senior team members.
  • Ability to delegate tasks.
  • Strong team ethic and willingness to support others.
  • Intermediate skills in Microsoft applications, including Outlook and Teams.
