About the Role

We are seeking a highly skilled and experienced Facilities Management Assistant to join our team at EMCOR UK. As a key member of our operations team, you will be responsible for supporting the Operations Manager in the delivery of site contracts and providing day-to-day client facilities management support.

Key Responsibilities
  • Review and evaluate existing soft and hard services contracts to provide KPI and SLA reports
  • Provide day-to-day hard and soft services contract management, including cleaning, vending, catering, and contractor management
  • Produce accurate contract performance reports on a weekly, monthly, and ad-hoc basis
  • Communicate with client departments on completed and planned works
  • Provide day-to-day FM operational support to the client
  • Liaise with clients and manage complaints
  • Deal with subcontractor and supplier enquiries
  • Comply with additional ad-hoc instructions as required
  • Assist with overseeing Planned Preventive Maintenance scheduling
  • Operate as a member of the EMCOR team, leading and supporting site-based services
  • Ensure all operations are undertaken with total adherence to legislative and local Health and Safety regulations
  • Identify opportunities to increase the scope of client delivery
  • Ensure supervisors and staff have the necessary skills and knowledge
  • Manage variable works via third-party contractors
  • Plan, implement, and deliver contract operational plans
  • Focus on innovation with regard to site delivery
  • Carry out hygiene and housekeeping audits
  • Manage EMCOR operational activity to required SOPs
  • Develop and maintain site standards and specifications
  • Manage and coordinate all site-based delivery teams
  • Ensure KPIs/SLAs are met and communicated to the team
  • Plan and coordinate team briefings and Toolbox Talks
  • Review staffing levels and labour costs
  • Provide monthly operational reports
  • Influence and encourage collaboration, knowledge sharing, and best practice
  • Regularly meet with the client to communicate key contract issues
  • Deliver all required outputs against agreed KPIs
  • Identify cost reduction opportunities
  • Manage/assist in recruitment procedures
Requirements
  • Technical Certificate or Diploma
  • IOSHH or NEBOSH Qualified
  • Experience of producing and reviewing RAMS
  • Experience within a similar role, managing the delivery of complex high-value contracts
  • Experience of using Word, Excel, CMMS, and Helpdesk Packages
  • Excellent interpersonal and customer relationship skills
  • Effective communication skills
  • Ability to sustain effective relationships
  • Ability to plan and organise in a timely manner
  • Drive and determination
  • Reliable and resilient under pressure
  • Has a detailed understanding of operational needs
