Job Overview

We are seeking a skilled Event Delivery Coordinator to join our team at Northstar Travel Group.

About the Role:

This is an exciting opportunity to work with our UK hosted buyer team, delivering exhibition hosted buyer programmes. As an Event Delivery Coordinator, you will be responsible for working closely with the Head of Hosted Buyer Operations to ensure the smooth running of event hosted attendee programmes.

Main Responsibilities:
  • Hosted Programme Coordination
    • Implement and manage event hosted attendee programmes in collaboration with the Head of Hosted Buyer Operations.
    • Communicate effectively with hosted buyers through regular email updates and phone calls.
    • Manage logistical requirements for hosted buyer travel, provide regular updates, and liaise with external travel providers regarding any queries.
    • Manage logistical requirements for hosted buyer transfers, provide regular updates, and thoroughly check returned bookings to ensure accuracy.
    • Create reports using advanced knowledge of Excel and Word to communicate with hosted buyers via mail merge.
    • Day-to-day management of a fixed-term contractor assisting with the hosted buyer programme.
    • Ownership and management of hosted buyer's diary systems as directed.
    • Daily management of the diary system to ensure hosted buyers can use it effectively.
  • Telesales and Telemarketing
    • Generate and run reports for the Telesales team to enable them to chase appointments.
  • Data Management, Acquisition, and Retention
    • Input information into computerized databases and create reports for internal departments with hosted buyer information.
    • Collate cancellations and charges, work with the Head of Hosted Buyer Operations to raise payment links and cancellation invoices.
    Other Key Responsibilities:
    • Collaborate with commercial, editorial, and marketing teams to ensure successful event delivery.
    • Determine and maintain accurate records of event spend, forecasting costs, researching venues and suppliers.
    • Take responsibility for handling issues and troubleshooting problems both from the office and on-site.
    • Conduct pre- and post-event evaluations with team members, reporting on outcomes.
    • Mentor and train temporary hosted buyer coordinators.
    • Assist the events team on other events as required.
    Requirements:
    • Experience in operational delivery of hosted buyer/delegate programmes.
    • Experience/exposure in operational delivery of events and/or exhibitions.
    • Fluent English communication skills.
    • Attention to detail in all areas.
    • Computer literacy with advanced knowledge of Microsoft Office.
    • Ability to work under pressure for extended periods.
    • Ability to manage multiple projects simultaneously.
    • Ability to work collaboratively as part of a team.
    • Service awareness with good telephone manner and customer service skills.
    Compensation Package:

We offer a competitive compensation package, strong benefits, and a dynamic culture. Our estimated salary range for this position is £40,000 - £55,000 per annum, depending on experience.
