**Key Responsibilities:**
- **Administrative Support:** Manage calendars, schedule meetings, and handle correspondence to ensure seamless communication and coordination.
- **Documentation Management:** Assist in preparing, reviewing, and filing trade-related documents, ensuring accuracy and compliance with internal policies and procedures.
- **Meeting Coordination:** Organise meetings, book conference rooms, prepare agendas, and manage meeting materials. Take and distribute minutes as necessary to ensure all stakeholders are informed.
- **Travel Arrangements:** Arrange complex travel itineraries, ensuring all travel plans are within budget and adhere to company policies and guidelines.
- **Expense Management:** Process and manage expense reports, ensuring timely submission and adherence to company guidelines and procedures.
- **Event Planning:** Assist in organising internal and external events, including client meetings and team-building activities, to foster a positive and productive work environment.
- **Office Management:** Ensure the trading floor is well-equipped, and all equipment is functioning properly. Coordinate with facilities management for any necessary maintenance to ensure a safe and efficient work environment.
- **Ad Hoc Support:** Provide additional support as needed, including project management, research, and report preparation, to ensure the team's success and goals are met.
**Requirements:**
- Experience as a PA or in a similar high-pressure setting, preferably in a trading environment.
- Strong organisational skills with the ability to multitask and prioritise in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact professionally at all levels.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with financial software or trading platforms is a plus.
- High level of discretion and confidentiality when handling sensitive information.
- Strong attention to detail and problem-solving skills.
