At RINA, we are currently seeking a talented UK Business Support Specialist to join our Consulting Planning, Monitoring & Business Support Division.


The successful candidate will act as a focal point for the provision of administrative support to all UK Business Areas, working closely with the UK Business Support team to provide operational business units, commercial teams, and corporate functions with the support they need.


Key responsibilities will include general administrative support, procurement assistance, and data entry, as well as providing support for events, meetings, and gatherings.


Key Accountabilities:



  • General Administrative Support:

    • Provide administrative support to the UK Operations and Management Team as required.
    • Book external training courses for employees and ensure all records are kept up to date.
    • Support the local office with answering phones, managing deliveries, and general facilities support.
    • Assist with scheduling equipment maintenance.
    • Provide administrative bid support, collating supporting documentation, and completing pre-qualification questionnaires.
    • Support with accurate data entry into systems, including customer data, quotations, and orders.
    • Provide support for events, meetings, or gatherings as required.
    • Support teams with general ad hoc queries.

  • Procurement Support:

    • Obtain relevant quotes for purchases and liaise with suppliers to ensure mandatory information has been provided.
    • Submit purchase requests and monitor approvals on the Procurement system.
    • Check and receipt supplier invoices to ensure accuracy and completeness.
    • Book travel requirements for the business via company-approved suppliers, ensuring travel logs are up to date.


Requirements:



  • 5 GCSEs with grade C (or equivalent) and above, including Maths and English, or equivalent experience in a strong administrative or office support role.
  • Experience working in an engineering consultancy or similar business.
  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
