We are seeking a Travel and Expenses Coordinator to optimize the efficiency and effectiveness of our company's travel arrangements. The ideal candidate will be responsible for booking flights, hotels, and car hire for contractors, as well as liaising with travel companies to obtain the best rates and bulk discounts.

Responsibilities

Administration:

  • Book travel arrangements for contractors as required by consultants.
  • Liaise with travel companies to obtain best rates and bulk discounts.
  • Liaise with contractors to ensure they have correct documentation for travel.
  • Keep in touch with contractors to ensure any issues arising are dealt with appropriately.

Accounting:

  • Ensure costs of travel are recorded in a timely and accurate manner in RSM.
  • Ensure all relevant documentation is provided to the billing team to enable recovery of costs from clients where applicable.
  • Ensure costs of travel are recorded in the Sage accounting system.
  • Ensure any deposits are recovered from hotels and other accommodation.
  • Provide insightful reporting to the billing team to maximize recovery of costs.
  • Maintain a database for the company's carbon data reporting.
About you:
  • Fluency in English; other languages are desirable.
  • Competence in Microsoft Office.
