Job Title: Receptionist / Administrator

Job Summary:

We are seeking a highly organized and efficient Receptionist / Administrator to join our team at Manpower UK - RISE in Leeds City Centre. The successful candidate will provide exceptional customer service, manage administrative tasks, and maintain a welcoming environment for visitors and callers.

Key Responsibilities:

  • Provide a first line contact for callers and visitors, presenting a helpful and effective image of our client.
  • Connect callers directly to the department they are seeking or investigate their needs to identify where help can best be provided.
  • Undertake other administrative tasks as required, including using the membership system to identify members, ensure subscriptions are up to date, and direct members to the correct Officer.
  • Welcoming visitors to the union, connecting them to the department/person they wish to visit or speak with.
  • Make and maintain records of bookings for all meeting rooms, including making special arrangements, buffets, and use of equipment.
  • Ensure that visitors understand the union's requirements for safety & security and complete the security pass arrangements as required.
  • Record receipt of courier deliveries, recorded deliveries, and keep the reception area tidy and smart at all times.
  • Ensure that messages are passed promptly to the recipient and make taxi arrangements, ensuring that all taxis are authorized and records kept of all bookings.
  • Answer incoming calls, within 4 rings whenever possible, dealing with calls promptly and effectively to keep the lines free and accessible to further callers.
  • Assist callers with queries where able to do so and ensure messages are passed promptly to the recipient.
  • Have a full working knowledge of the telephone system both from the switchboard and extensions and train other staff in the operation of the telephone system for when cover is required.
  • Advising recipients of receipt of faxes on the main number, receiving delivery of stationery requisitions, checking, ordering, and issuing stationery to the requester once delivered.
  • Receiving delivered post and sorting ready for collection by each department and receiving outgoing post from departments and franking it ready for collection.

The ideal candidate will possess excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment. They will also have a strong attention to detail and be able to maintain confidentiality when handling sensitive information.
