Project Document Controller

Time Type: Full time

Become part of a winning team and help to deliver the Green Energy transition. The Project Document Controller will support the Project Engineering Director / Project Director to manage project documentation deliverables by providing comprehensive document control and management systems.

The successful candidate will work within the document control process based on Grid Solutions rules and policies and customised for the project as per contractual requirement, covering the review, publishing, storage, and use of technical documentation, supported by the Document Management System (DMS).

They will own and maintain the Project Master Document List which is the governing instrument for the process. Under the responsibility of the Project Director (PD) / Project Engineering Director (PED), they are the single point of contact with customers for contractual technical document transmittal. You will work in close cooperation with the engineering team, Project Managers and Project Engineering Managers, as well as customer representatives and external partners subcontractors and suppliers.

Document Management Process
  1. Consult with customers / partners to ensure project documentation deliverables are submitted in a timely manner.
  2. Support the PD / PED in the Document Management process definition and deployment.
  3. Work with the document control leader to ensure that all relevant document management procedures are adhered to by involved parties (participating units, subcontractors).
  4. Act as point of contact for document process queries on the project.
Document Management System
  1. Assist and organise in the Documentation Management System training to end users.
  2. Provide functional assistance to project team.
  3. Manage all project document transactions for the company ensuring all relevant information is recorded accurately on the Document Management System.
  4. Liaise with the client on all document issues on behalf of the project.
  5. Manage customer return status of project documentation within the Document Management System.
  6. Provide all necessary assistance to the Site management for documents used during the construction phase.
Quality
  1. Control the data attributes of documents, in line with project requirements. Alert the document control leader of any corrective actions that need to take place.
  2. Be aware of all printing, collating, packaging, and posting of documents to the required parties that is required and assist with ensuring these documents are processed.
  3. Comply with Quality Procedures, GE work instructions and Processes, Grid Engineering Management Handbook (EMH), Grid Project Management Handbook (PMH) and on site.

To succeed in this role, you will have generally recognised qualifications that demonstrate a good standard of education and an ability to communicate both verbally and in writing. You will have more than significant experience working in a document management position, or a position that has a close association with the handling and management of large volumes of technical information. You will be familiar with document management systems and have previously acted in the role of system administrator, or similar.
