Job Title: Medical Director's Support Specialist

We are seeking a highly organized and efficient Medical Director's Support Specialist to join our team at Adonia Medical Clinic.

The ideal candidate will have a proven track record of success as an Executive Assistant working in a fast-paced environment and will be responsible for maintaining strict confidentiality, managing calendars and diaries, and coordinating schedules and meetings.

The Medical Director is a busy professional with a diverse range of responsibilities, including international collaborations, public speaking, and research. The successful candidate will be able to multitask, problem-solve quickly, and maintain a calm and professional demeanor under pressure.

Key Responsibilities:

  • Maintain strict confidentiality and handle sensitive information with discretion
  • Manage calendars and diaries, coordinate schedules and meetings, and arrange travel and accommodation
  • Prepare memos, letters, invoices, and other documents, and manage business projects
  • Attend meetings with directors, record minutes, and take meetings and report back with actions
  • Arrange dinners, social events, and public appearances, and plan and coordinate newsletters and clinic events
  • Organize and maintain office systems, and aid the Medical Director in regulatory compliance
  • Sign off expenses, invoices, and timesheets in the Medical Director's absence
  • Keep team information up to date, including birthdays, addresses, and holidays
  • Sustain a level of professionalism among staff, and liaise with household staff and the Medical Director's family

Requirements:

  • 3+ years of experience as a Personal Assistant or Executive Assistant
  • Excellent email organization and writing skills
  • Ability to multitask, problem-solve quickly, and maintain a calm and professional demeanor under pressure
  • Proactive and able to show initiative
  • Experience in managing an executive's day and supporting with tasks
  • Interest in beauty and the industry
