About the Role:
We are seeking a highly organized and detail-oriented Site Project Administrator to join our team at SF Recruitment. In this role, you will provide essential operational support to on-site project managers, engineers, and project teams, ensuring the successful and timely completion of projects.
Key Responsibilities:
- Monitor and analyze project budgets, including cost tracking and purchase orders.
- Compile daily project cost tracking reports for review with the Project Manager.
- Track project progress and prepare drafts of monthly payment applications.
- Monitor and analyze project resources and cross-reference weekly timesheets.
- Track purchase orders and communicate their status to the Project Manager.
- Prepare monthly major contract review presentations.
- Document and maintain records of all project-related meetings for external audits.
- Assist the Health and Safety Manager/Advisor with on-site reporting.
- Maintain price files and ensure all relevant documentation is complete.
- Collaborate with the central finance team and project team to ensure efficient sales invoicing processes.
- Keep a record of training in the project training matrix.
- Complete and submit weekly reports in coordination with the project team.
- Provide general administrative support to the project team.
- Arrange meetings and events, taking minutes as necessary.
- Contribute to continuous improvement processes and drive efficiency and standardization.
Requirements:
- Excellent administrative skills with attention to detail.
- Proficiency in Microsoft Office applications (Excel, PowerPoint, Word, Dynamics, Outlook).
- Strong written and verbal communication skills at both technical and professional levels.
- Experience in finance administration.
- Customer-focused with a high level of professionalism.
- Detailed and analytical approach.
- Ability to work independently or as part of a team, handling pressure and adapting to changing situations and personalities.
- Strong collaborative skills to achieve operational delivery.
- Consistent performance under pressure and tight deadlines.
- Excellent time management skills with the ability to prioritize multiple tasks effectively.
