About the Role

We are seeking an enthusiastic and proactive person to join our administration team as a Breast Screening Administrator. The successful candidate will provide first-class administrative skills, working with other team members, the Office Supervisor, Office Manager, and Central Hub.

Key Responsibilities

  • Provide reception duties at 104 Denmark Hill screening site, checking client details, previous screening films, and preparing clients for mammography screening.
  • Forward emails received to the London Breast Screening Administration Hub.
  • Book and amend Technical Recall appointments that come through to the office.
  • Book breast screening appointments for special clients.
  • Ensure all Paper-lite trial clinic protocols are followed.
  • Redirect family history, assessment calls, or calls intended for the Hub, Family History Coordinator, or Breast Care.
  • Action incoming post and incoming films from other screening offices and update on National Breast Screening System (NBSS).
  • Prepare and remit films and paperwork to and from other screening offices, following set protocols.
  • Request films from Iron Mountain on an ad-hoc basis.
  • Receive films from IM, check, and put into relevant clinics.
  • Prepare paperwork and data sticks for screening clinics to be distributed to mobile units and clinics.
  • Accurately maintain the filing system, returning films to off-site storage when screening is completed.
  • Accurately enter registration and clinical details of screening clients on NBSS.
  • Check routine recall after assessment packets.
  • Extract and upload information and documents to BS Select (National Database).
  • Ensure all client forms are reviewed post-screening, verifying that all radiographic and radiological procedures have been correctly followed, guaranteeing accurate results.
  • Return screening packets to the Deputy Service Manager if there is non-compliance, along with a completed reason form if there is a non-compliance to the Right Results Protocol, and highlight any anomalies.
  • Check results findings following film reading against the NBSS system and generate a routine recall letter to the client and a GP report to her practice. Inform the Hub once clinics have been finalised and reconciled, so they can release the result letters.
  • Participate in audits as directed by the Office Supervisor.
  • Advise any requesting Screening Office of imaging date and accession number to facilitate an IEP request for any images done under the South East London Breast Screening Programme.
  • Ensure all Work Instructions are acknowledged on Q-pulse.
  • Ensure all paperwork is scanned into the breast screening drive.
  • Complete all mandatory training in line with Trust Policy.

Person Specification

Essential

  • GCSE A-C grade in English and Maths or equivalent.
  • Excellent written and verbal communication skills combined with an effective and courteous telephone manner.
  • Ability to work under pressure and exercise judgement when dealing with enquiries and within a co-operative multi-disciplinary team-based environment.
  • Ability to prioritise workload and effectively organise workload.

Desirable

  • Knowledge of NBSS database.
  • Familiarity with medical terminology.
