To provide front line assistance to all patients and relatives on arrival to the Emergency Department (A&E) and Urgent Treatment Centre (UTC), ensuring registration documents detailing patient condition are provided accurately and swiftly and to alert any concerns to nursing staff.

To provide an efficient and effective administrative reception service to the Emergency Department (A&E) and Urgent Treatment Centre (UTC) and other areas across the Acute floor when required 24 hours a day, 7 days a week, on either site (Royal Sussex County Hospital, Brighton & Princess Royal Hospital, Haywards Heath). You will be working as part of a team and will be expected to work variable day/Twilight and night shifts.

Main Duties of the Job

To provide an efficient administrative and reception service to the Emergency Department 24 hours a day, 7 days a week, working as part of a team expected to work shifts days/twilights and nights.

Provide front line assistance to all patients and relatives on arrival to the UTC and Emergency Department, ensuring registration documents detailing patient condition are provided accurately and swiftly and to alert any concerns to nursing staff, using good communication and inter-personal skills to interact with tact and diplomacy with relatives, patients and the multi-disciplinary team.

To ensure that patients are accurately registered on the A&E computer system and the Trust systems.

To ensure all aspects of reception administration tasks are completed in a timely manner.

To ensure all ambulance arrivals are processed in a timely manner ensuring accuracy of patient information.

Detailed Job Description and Main Responsibilities

  1. Use good communication and interpersonal skills to interact with tact and diplomacy in a sometimes hostile and antagonistic atmosphere due to nature of illness i.e. drugs, alcohol, mental illness, Major trauma RTA with patients and staff at all levels. Provide and receive information which may be complex, sensitive or contentious in nature. Engage and collaborate problem solving with co-workers and staff and other outside agencies i.e. GPs, Social Workers, Police, Care in the Community. Function as a \u2018team player\u2019, being considerate and flexible, taking the needs of your peers into consideration. Exercise discretion to ensure that patient confidentiality is maintained and a professional, respectful hospital environment exists at all times.
  2. To use analytical judgment to prioritise patients requiring urgent immediate medical attention, i.e. Trauma, Chest Pain, CVA Stroke, Cancer patient, ill baby / child, and any other symptoms that may be urgent. Provide and receive complex and sensitive information, requiring our interpersonal and communication skills, to promptly assess each situation, via telephone or face to face.
  3. As front-line staff use empathy and understanding, to interact with staff, patients and relatives, to interact with patients and relatives when there are barriers to understanding. These situations may involve highly distressing individuals and or those whose first language is not English, also from patients and relatives, due to illness or trauma.

Administrative Experience

Essential Criteria

  1. Good basic knowledge and experience of working with computers and Microsoft Office software.
  2. Educated to GCSE standard or equivalent.
  3. Ability to utilise Symphony and Trust computer systems. Register and allocate ID numbers, correcting any duplication and ID numbers.
  4. Proven organisational skills and ability to prioritise workload with interruptions and changing priorities.
  5. Ability to work as part of a multi-disciplinary team
  6. Registration and admission to ward, transfers, discharges, outpatient appointments, trace and tracking medical notes.

Desirable Criteria

  1. Experience of working within a healthcare environment
  2. Experience of using Microsoft Office applications such as Word and Outlook
  3. Advanced keyboard skills.
