Your Responsibilities
- Manage the day-to-day company secretarial operations of client structures, demonstrating initiative and autonomy.
- Oversee various company secretarial transactions, including preparation and review of corporate approvals and filings.
- Prepare for and participate in board and shareholders' meetings, ensuring timely minutes turnaround.
- Build strong relationships with clients, fund managers, and other stakeholders, serving as a key liaison and point of contact.
- Maintain statutory records for entities and ensure compliance with annual and ad-hoc filing requirements.
- Assist with the setup and onboarding of client structures, administering complex international structures.
- Collaborate with colleagues to prepare and monitor Know Your Customer/Client Due Diligence and promoter/corporate files.
- Proactively review and update entity records to ensure accuracy and compliance.
- Interact with clients, board members, and third-party intermediaries through various communication channels.
- Monitor changes in relevant legislation and regulatory environments, taking appropriate action to ensure compliance.
- Participate in the billing process and cash collection, ensuring timely and accurate financial management.
- Coordinate onboarding of new structures, client KYC, and compliance-related tasks.
- Supervise junior employees, providing guidance, work quality assurance, and mentoring.
- Stay up-to-date with industry and regulatory changes, applying knowledge to improve processes and services.
Your Profile
- Hold a university degree and/or relevant professional qualification, such as a Chartered Governance Institute certification.
- possess 3+ years of relevant experience in company secretarial and corporate services, preferably in a corporate services provider.
- Prior experience with Blueprint (now Diligent) is a strong asset.
- Have a good understanding of compliance requirements and AML regulations.
- Demonstrate team spirit, strong client relationships, and initiative to act autonomously.
- Adopt a flexible and hands-on approach, with a focus on organization and attention to detail.
- Prioritize tasks and manage multiple projects simultaneously, ensuring timely completion.
- Possess excellent communication skills, with the ability to interact with people at all levels.
- Act with increased accountability, demonstrating ownership of work, flexibility in prioritizing tasks, and adherence to established processes and procedures.
- Experience in coaching and supporting junior employees is an asset.
