Conveyancing Assistant Job Description

We are seeking a highly organized and detail-oriented Conveyancing Assistant to join our dynamic team at Reed. As a Conveyancing Assistant, you will play a crucial role in supporting our conveyancing department with a range of administrative tasks.

Key Responsibilities:
  • Provide administrative support to our conveyancing team, including audio and copy typing, digital dictation, and file opening.
  • Liaise with clients and third parties via phone and email to ensure seamless communication.
  • Perform reception duties, including answering phone calls and greeting clients.
  • Maintain accurate diaries and schedules to ensure timely appointments and meetings.
  • Handle filing and other clerical duties, including managing file closing, archiving, and strong room maintenance.
  • Update legal reference materials to ensure accuracy and compliance.
  • Prepare and send outgoing mail and DX, as well as photocopy and scan documents as required.
  • Draft and prepare bills and other documents for clients.
  • Support other assistants as needed to ensure a smooth workflow.
  • Prepare instructions for Fee Earners to pass to the Client Services Administration Department.
  • Contribute to a safe and healthy working environment by adhering to company policies and procedures.
Requirements:
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Prior experience as a Legal Assistant/Paralegal or experienced administrator.
  • Experience in a conveyancing department is desirable but not essential.
  • Ability to work independently and as part of a team.
