Job Summary

We are seeking a highly skilled and organized Receptionist / Administrative Assistant to join our team. The successful candidate will be responsible for providing exceptional patient care, managing administrative tasks, and supporting the overall operations of our medical practice.

Key Responsibilities

  • Provide a warm and welcoming experience for patients, answering their queries and addressing their concerns in a professional and courteous manner.
  • Manage patient appointments, including scheduling, rescheduling, and canceling appointments as needed.
  • Process patient registrations, including collecting and verifying patient information, and updating patient records.
  • Handle patient correspondence, including responding to emails, letters, and phone calls in a timely and efficient manner.
  • Maintain accurate and up-to-date patient records, including medical history, test results, and treatment plans.
  • Support the clinical team by preparing patient files, updating medical records, and performing other administrative tasks as required.
  • Ensure the smooth operation of the front desk, including managing patient flow, answering phone calls, and responding to patient queries.
  • Collaborate with the clinical team to ensure seamless communication and coordination of patient care.
  • Participate in quality improvement initiatives and contribute to the development of policies and procedures to enhance patient care and practice operations.

Requirements

  • Education to GCSE (or equivalent) including English language & Math.
  • Ability to be discrete and maintain absolute confidentiality.
  • Excellent telephone manner.
  • Good verbal and written communication skills in English.
  • Accuracy and an eye for detail.
  • A calm, pleasant, and reassuring personality.
  • Ability to work under pressure and as part of a team.
  • Ability to be flexible regarding hours/tasks.
  • Previous experience in a healthcare setting/dealing with the general public.

Desirable Qualifications

  • Previous experience in a GP Surgery.
  • EMIS & Docman experience.
  • Experience using Microsoft Office.
  • Ability to work on own initiative.
  • Ability to work confidently within the role, referring matters to reception supervisor, doctors, or practice manager as appropriate.
