We are seeking a proactive and organised Operational Excellence Specialist to join our dynamic team at Trillium Technologies in London. As the Operations Assistant, you will be pivotal in ensuring seamless day-to-day operations and supporting the senior team to stay focused on strategic priorities.

About the Role

This is an exciting opportunity for someone who excels at "spinning plates" and keeping the team aligned. You will provide operational foundation for excellence, managing calendars, reviewing expenses, and supporting programme logistics. Your role will contribute to delivering outstanding results across various projects.

Key Responsibilities
  • Core Administrative Support
    • Coordinate multi-calendar scheduling and arrange meetings and conferences.
    • Maintain secure and organised electronic filing systems.
    • Track and manage contracts, assist with legal documentation, and ensure all files are updated and stored confidentially.
    • Reconcile expenses across projects and track company costs.
    • Prepare, organise, and manage financial documents, including invoicing, budgeting reports, and transaction logs.
  • Programme Logistics and Delivery
    • Monitor project timelines and contribute to creating Programme timetables.
    • Assist in delivering Programmes, working with AI and science experts to produce outstanding results.
    • Schedule and organise Programme activities, including events, kick-offs, and presentations.
  • Content Creation and Communication
    • Support business documentation needs, such as social media campaigns and marketing materials.
    • Ensure consistency across messaging platforms and assist partners with content creation.
Requirements
  • Bachelor's degree preferred.
  • At least 3-5 years of operations/administrative experience, ideally in a fast-paced environment.
  • Highly organised, proactive, and able to work independently and collaboratively.
  • Strong IT skills, including proficiency with Google Suite.
  • Adaptable and able to manage multiple priorities in a dynamic setting.
  • Excellent communication skills and confidence liaising with stakeholders at all levels.
  • Demonstrate experience and interest in technology, space, sustainability, resilience, and interdisciplinary research.

The estimated salary range for this position is £40,000 - £55,000 per annum, depending on experience. We offer a competitive benefits package and opportunities for career growth and development.
