Job Title: Construction Administrator

We are seeking a highly organized and detail-oriented Construction Administrator to join our team at Vistry Group. As a key member of our construction team, you will play a vital role in ensuring the smooth delivery of our residential housing projects.

Key Responsibilities:
  • Implement and manage Vistry Governance procedures to ensure compliance and quality assurance.
  • Collaborate with the Build Team to collate and distribute reports on Partner Delivery, including Affordable/Additionality Contracts and PRS Contracts.
  • Maintain and develop key working relationships with our Delivery Partners to ensure effective communication and collaboration.
  • Produce, update, and deliver the Home User Guide (HUG) with relevant handover/completion information to achieve handover/completion criteria with our delivery partners.
  • Attend internal project meetings and delivery partner meetings to ensure a smooth transition from build to completion.
  • Support the Build Team by collating, issuing, and closing out Delivery Partner snagging sheets via the supply chain.
  • Manage documents for multiple projects, ensuring Teams Channels and Project Folders are created, and documents are uploaded accurately and timely.
  • Work with procedures, guidance, and forms contained within the corporate Business Management System (BMS).
  • Maintain knowledge and understanding of the Document Control process at operational level.
  • Ensure documentation follows approvals process and carry out quality assurance checks on all information uploaded.
  • Ensure all documents are up to date and completed correctly prior to internal or external audits.
  • Ensure external documentation is identified and distributed as agreed.
  • Manage user accounts, permissions, and provide systems training.
  • Support internal and external users regarding system issues.
  • Print/organize print service for drawings when required.
  • Liaise with production team regarding handover information/documentation.
  • Support, encourage, and facilitate collaboration and teamwork to ensure everyone fulfils their duties to the best of their abilities.
  • Ensure all affordable and PRS specifications are effectively communicated to the Build, Technical, and Commercial teams.
  • Prepare and collate reports, including minutes of meetings, such as Partner Delivery, JV/Partner delivery reporting, Project Review Minutes, Contractors Meetings, and Board reports.
  • Ensure the CML or PC dates are planned to ensure all required handover information is in place on time.
  • Attend and contribute towards weekly/monthly Partner meetings, Monthly project review meetings, supply chain meetings, and collaborative planning meetings.
Requirements:
  • IT literate - Office 365
  • Experience of using Viewpoint 4Projects
  • Experience in residential housing delivery
  • Knowledge and understanding of the Document Control process at operational level
  • Minimum of two years' experience of carrying out a similar role
  • IT literate - Office 365 preferable
  • Viewpoint/SharePoint
  • Working with many stakeholders and cross-department collaboration
  • Strong time management skills with an ability to prioritize
  • Able to work under own initiative, having good decision-making skills and a keen sense of responsibility
  • Problem resolution in a timely manner
  • Excellent communication and interpersonal skills with the ability to effectively liaise and coordinate activities between departments
  • Great attention to detail
  • Prioritize workload when managing multiple contracts/tasks
  • To have a positive and flexible approach to work, integrate with the existing team, and provide support and guidance to others when required
Desirable:
  • Knowledge of other DC systems
  • HNC in Computer Science, Business Administration, or similar
  • Consortium/JV arrangements
  • Ability to understand and interpret construction drawings and documents
  • Highly literate and able to understand and interpret legal documentation
