Job Title: Contract Monitoring Specialist

The Ministry of Justice is seeking a highly skilled Contract Monitoring Specialist to join the Prison Contracts Group. As a key member of the Controller's Team, you will play a crucial role in ensuring the effective and efficient operation of the prison.

Key Responsibilities:
  • Support the Controller/Deputy Controller in the formal monitoring arrangements relating to the contract.
  • Monitor compliance with operational requirements, undertake audits, and identify failures by Contractor's staff to comply with contractual requirements.
  • Maintain a working knowledge of the Contract, identifying deviations and raising these with the Controller.
  • Analyse the content of Prison Service Instructions and Orders, Standards etc. and forward information on new and revised Prison Service Instructions and Orders to the Contractor from the Prison Service Intranet.
  • Prepare papers, including updates on performance measures, for the monthly Controller and Director meeting and the Quarterly Contract Review Meetings.

  • Proficiency in Microsoft Office and ability to learn new software systems.
Working Hours:

The successful candidate will be required to work a standard 37-hour week, with flexibility to work additional hours as required.

Contract Monitoring

The Contract Monitoring Specialist will be responsible for monitoring the Contractor's performance against the contract requirements, including:

  • Monitoring compliance with operational requirements.
  • Undertaking audits.
  • Identifying failures by Contractor's staff to comply with contractual requirements.

Performance Management

The Contract Monitoring Specialist will also be responsible for analysing and presenting quarterly performance progress, including:

  • Developing and maintaining a robust database for the Quarterly Contract Review Meetings.
  • Providing key updates for the Controller and other key internal stakeholders.

Office Management and Administration

The Contract Monitoring Specialist will also be responsible for ensuring effective office administration processes are in place, including:

  • Supporting and minuting the QCRM.
  • Maintaining a suitable supply of stationery ordered via I-Proc when required.
  • Providing necessary reception arrangements for visitors and general office duties.

Qualifications and Experience:

The successful candidate will have:

  • A degree in a relevant field, such as business, law, or a related field.
  • At least 2 years of experience in a related field, such as contract monitoring, performance management, or office administration.
  • Excellent analytical and problem-solving skills.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.

Training and Development:

The Ministry of Justice offers a range of training and development opportunities to support the successful candidate in their role, including:

  • I-Proc training.
  • Quantum Point of Contact training.

Working Hours and Allowances:

The successful candidate will be required to work a standard 37-hour week, with flexibility to work additional hours as required. The role also attracts unsocial hours allowances.
