Job Summary
This is a key role in Theatres, responsible for overseeing end-to-end P2P operations, improving procedures and controls, and ensuring no leakage of cost due to incorrect pricing and invoicing by suppliers.
Key Responsibilities
- Oversee the requisition and purchase order process by reviewing all outstanding requisitions and purchase orders in the PeopleSoft system on a regular and timely basis.
- Ensure the requestor is advised of any delay in the delivery of goods for outstanding purchase orders.
- Main area of cover will be in Theatres, working closely with the current Inventory & Specialist.
- Liaise with Bupa UK PeopleSoft team and Bupa UK Procurement team with regards to any system related issues (including transmission to Suppliers) and Supplier catalogue issues.
- Assist in the face to face training of PeopleSoft or seek help from Bupa Procurement Support team for providing that training support.
- Provide urgent cover where needed.
- Deal with Medical Device Alerts (MDAs) and organise the collection and return to the supplier of the affected items.
- Assist colleagues in Stores, Theatres and Angio with queries on Inventory module of PeopleSoft and escalate accordingly to Inventory Manager and Bupa UK PeopleSoft team.
- Have good Excel skills and be able to use them for preparing, manipulating and maintaining excel based system reports as required by the Inventory Manager.
- Liaise with the appropriate UK Procurement & Commercial teams for all inventory management requirements that cannot be sourced from existing supplier contracts to ensure that non contract expenditure is minimised.
- Arrange for the return of goods which have been received faulty or damaged, or have been ordered in error, or, are duplicate delivery.
- Be responsible for the timely processing of approved Capital Expenditure Requests.
- To carry out the above duties and any other duties as reasonably requested by the Inventory Manager or/and Leadership team.
Requirements
- Experience with Inventory in a hospital setting.
- Experience with Inventory in a logistics setting.
- Excellent organisational skills.
- Good numeracy skills and the drive to work with attention to detail.
- Good basic knowledge of Excel.
- Excellent written and verbal communication skills.
- IT literate – Microsoft office proficient.
