About the Role

We are seeking a highly skilled and experienced Fleet Service Controller to join our team at Pullman Fleet Services. As a key member of our operations team, you will play a vital role in ensuring the efficient and effective management of our fleet services.

Key Responsibilities
  • Provide exceptional customer service to our clients, responding to their queries and resolving any issues in a timely and professional manner.
  • Manage the daily Work In Progress reports, ensuring that all jobs are accurately recorded and that the WIP administration is controlled.
  • Resolve customer queries and escalate issues to the Workshop Controller or Workshop Manager as necessary.
  • Coordinate customer bookings, ensuring that all necessary documentation is completed and that payments are processed correctly.
  • Raise job cards and service sheets, ensuring that all relevant paperwork is completed and that customer documentation is provided in a timely manner.
  • Manage customer files and maintain accurate records of customer interactions.
  • Place orders on Sage and liaise with suppliers to ensure that all necessary materials and services are procured.
  • Chase invoices and maintain accurate records of accruals.
  • Dispatch Service Inspection Worksheets and certification to customers as required.
  • Ensure that all vehicle Accident Report Forms are completed correctly and submitted.
  • Contribute to the development and delivery of an effective and proactive cultural environment.
  • Manage the on-site ATF lane, including internal and external bookings, and ensure that all associated costs and revenue are accurately recorded.
  • Manage customer platforms, including R2C, to ensure 100% compliance and adherence.
Requirements
  • Proven customer service experience, particularly in a vehicle-based environment.
  • Knowledge of commercial vehicle repairs and road transport operations.
  • Excellent administration skills, including the ability to articulate clearly both verbally and in writing.
  • Self-motivation and the ability to thrive under pressure, working both independently and as part of a team.
  • Detail-focused, organised, and capable of taking ownership of tasks.
  • Sound geographical knowledge of the UK and good standards of GCSE level or equivalent education.
  • Proficient in Microsoft Office applications, with knowledge of Maintenance Management Systems a bonus.
