Facilities Coordinator

We are seeking a highly skilled and experienced Facilities Coordinator to join our team at CBRE Enterprise EMEA. The successful candidate will be responsible for managing the delivery of site services, resolving issues, and ensuring high standards are maintained for staff and clients.
Key Responsibilities:- Build and Maintain Relationships: Develop and maintain strong relationships with the landlord House Reception team to ensure high standards are maintained.
- Site Services Management: Manage the delivery of site services, including Post/deliveries, Cleaning, Vending management, Office Services, Waste, Hard Services, in line with account processes, SLA's/KPI's.
- Financial Management: Control and manage site financial budget, using financial systems to ensure accurate forecasting and attending periodic client review meetings.
- Purchase Orders and FCRs: Raise purchase orders and manage FCRs (Funding Client Requests) through to closure.
- Third-Party Contractors: Manage and control third-party contractors, including completion of inductions, maintenance of QHSE paperwork, and escorting around site.
- Compliance and Safety: Ensure full compliance for the delivery of services CBRE are responsible for in accordance with all QHSE requirements.
- Health and Safety: Complete required monthly Health & Safety documents within required timelines.
- Compliance Tracker: Manage and maintain the compliance tracker for site.
- Work Order Monitoring: Daily monitoring of site work orders to ensure account KPI's are met.
- Meeting Room Management: Manage and perform meeting room set ups and bookings in line with client requirements.
- Business Continuity Planning: Support the co-ordination and testing of Business Continuity Planning for the site.
- Equipment Maintenance: Ensure that all equipment is maintained and operated in a safe manner.
- Customer Satisfaction: Establish and maintain customer satisfaction by providing a 'quality' and pro-active service.
- Communication: Support and communicate with clients, customer base within your area of responsibility providing proactive support.
- Out-of-Scope Projects: Involvement in out-of-scope supplier projects, supporting staff and liaison with the CBRE and landlord teams to ensure successful delivery.
- Performance Standards: Maintain performance standards to ensure Customer expectations are achieved/exceeded.
- Site Information: Timely maintenance of site information across all CBRE platforms.
- Relationships and Stakeholders: Develop and maintain successful working relationships with the client, key stakeholders, customers, landlord representatives, and suppliers.
- Headcount Reporting: Weekly Utilization submissions to ensure accurate headcount reporting.
- Hospitality Requests: Assist and prepare hospitality requests as/when required.
- e-Logbooks: Management of e-logbooks, working closely with technical team for reviews/updates.
- Audit Activities: Attend and support all site audit activities.
- Communication with Landlord: Regularly communicate with building landlord.
- Car Parking Badging System: Management of car parking badging system.
- Improvement Opportunities: Seek opportunities to improve services and cost-effective ways of working.
- Emergency Support: Must be able to support and react to ad-hoc out of hours calls in the event of emergency scenarios with excellent communication.
