Immediate Contract Support / Office Manager Opportunity

CBW Staffing Solutions is currently recruiting for an experienced Contract Support to join their team on a temporary ongoing basis. The successful candidate will be immediately available and able to complete the required dates and hours.

Key Responsibilities:
  1. Patrol the admin area daily to ensure everything is in order
  2. Manage the cleaner and cleaning schedule to maintain a clean and organized workspace
  3. Oversee employee schedules to ensure smooth operations
  4. Coordinate CMI delivery and inventory management
  5. Take inventory of office supplies and maintain accurate records
  6. Establish and maintain office procedures to ensure efficiency
  7. Assist the senior management team as needed
  8. Provide excellent written and verbal communication
  9. Support CMI customer visits, including setup and coordination
  10. Maintain data accuracy in call logging tools
  11. Manage time and workload to meet predetermined service levels
  12. Accurately document calls and cases in the database
  13. Initiate the problem management workflow process and update customers on progress
  14. Perform daily office administration duties, including procurement and maintenance of office supplies and equipment
  15. Provide administrative support, including records keeping and document filing
  16. Assist with company events, data centre visitors, and staff activities
  17. Handle ad hoc duties as assigned
  18. Perform administration duties, including minute taking and preparing presentations
  19. Reconcile payments due and received from third-party providers
  20. Maintain registers and client information database
  21. Document proofreading and organizing files
  22. Maintain holiday and sickness records for property managing staff
  23. Diary management and general team support
  24. Coding invoices and escalating concerns to the Data Centre Asset Manager
  25. Actively communicate with the IDC, MEP, FM, and CMI teams
  26. Answer the telephone and deal with client/supplier queries
  27. Perform other general team support work for MEP, IDC, Security teams, and CMI staff
  28. Bookkeeping, including scheduling expenses and arranging payment of bills
  29. Raising contractor POs and closing out invoices
  30. Formatting weekly and monthly PowerPoint presentations
  31. Source and procure required items and services
  32. Perform other office support tasks as needed

Requirements:

  • Excellent written and verbal communication skills
  • Fluent in English, with Chinese language skills an advantage
  • Proficiency in PC applications, including MS Office Suite
