Office Support Specialist

CBW Staffing Solutions is currently recruiting for an experienced Contract Support to join their team on a temporary ongoing basis. The successful candidate will be immediately available and able to complete the required dates and hours.
Key Responsibilities:- Patrol the admin area daily to ensure everything is in order
- Manage the cleaner and cleaning schedule to maintain a clean and organized workspace
- Oversee employee schedules to ensure smooth operations
- Coordinate CMI delivery and inventory management
- Take inventory of office supplies and maintain accurate records
- Establish and maintain office procedures to ensure efficiency
- Assist the senior management team as needed
- Provide excellent written and verbal communication
- Support CMI customer visits, including setup and coordination
- Maintain data accuracy in call logging tools
- Manage time and workload to meet predetermined service levels
- Accurately document calls and cases in the database
- Initiate the problem management workflow process and update customers on progress
- Perform daily office administration duties, including procurement and maintenance of office supplies and equipment
- Provide administrative support, including records keeping and document filing
- Assist with company events, data centre visitors, and staff activities
- Handle ad hoc duties as assigned
- Perform administration duties, including minute taking and preparing presentations
- Reconcile payments due and received from third-party providers
- Maintain registers and client information database
- Document proofreading and organizing files
- Maintain holiday and sickness records for property managing staff
- Diary management and general team support
- Coding invoices and escalating concerns to the Data Centre Asset Manager
- Actively communicate with the IDC, MEP, FM, and CMI teams
- Answer the telephone and deal with client/supplier queries
- Perform other general team support work for MEP, IDC, Security teams, and CMI staff
- Bookkeeping, including scheduling expenses and arranging payment of bills
- Raising contractor POs and closing out invoices
- Formatting weekly and monthly PowerPoint presentations
- Source and procure required items and services
- Perform other office support tasks as needed
Requirements:
- Excellent written and verbal communication skills
- Fluent in English, with Chinese language skills an advantage
- Proficiency in PC applications, including MS Office Suite
