Purchasing and Production Planning Administrator

We are seeking an experienced and organized Administrative Assistant to join our Purchasing and Production Planning Department. As a key member of our team, you will provide administrative support to our Purchasing and Production Planning Controller, ensuring the smooth operation of our production processes.

Key Responsibilities:
  1. Assist the Purchasing and Production Planning Controller in managing administrative tasks, including raising purchase orders, tracking supplier deliveries, and maintaining accurate records.
  2. Provide exceptional customer service to suppliers, responding to queries and resolving issues in a timely and professional manner.
  3. Collaborate with internal departments, including production, sales, and logistics, to ensure seamless communication and coordination.
  4. Develop and maintain databases and spreadsheets to track orders, suppliers, and production schedules.
  5. Perform filing and administrative tasks, ensuring accurate and up-to-date records.
  6. Liaise with suppliers to negotiate prices, delivery schedules, and other contractual agreements.
  7. Assist in the preparation and amendment of production schedules and job sheets, ensuring accurate and timely distribution to production employees.
  8. Monitor delivery schedules and adjust production schedules accordingly.
  9. Verify invoices and ensure accurate paperwork, including purchase orders and nominal codes.
Essential Skills and Experience:
  1. Excellent administrative skills, with a strong attention to detail and accuracy.
  2. Proficient in Microsoft Office, including Word, Excel, and Outlook.
  3. Excellent communication and interpersonal skills, with the ability to communicate effectively with colleagues, suppliers, and customers.
  4. Ability to work independently and as part of a team, with a flexible approach to working hours to meet deadlines and peak workloads.
  5. Strong organizational and planning skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  6. Ability to use own initiative and work under pressure to meet deadlines.

We are located in a rural area, and own transport is essential for this role.
