Job Description:

This role supports the Building and Facilities Management team and other key stakeholders in delivering property compliance and general property and asset data. The successful candidate will be responsible for recording and updating asset and compliance data within the council's asset management system, while coordinating with contractors and service partners for smooth delivery of planned preventative maintenance programmes.

Key Responsibilities:
  1. Recording and updating asset and compliance data within the council's asset management system.
  2. Coordinating with contractors and service partners to ensure smooth delivery of planned preventative maintenance programmes.
  3. Working with Building and M&E Surveys to process quotations and requests for works.
  4. Liaising with key stakeholders and external agencies to arrange access to properties not directly managed by the team.
  5. Extracting and analysing data from the asset management system to provide reports to senior management and executive teams.
  6. Uploading compliance documentation to the asset management system.
  7. Attending contractor meetings and taking minutes where required.
  8. Providing frontline support for contractor and council enquiries in relation to asset compliance.
  9. Tracking and monitoring remedial actions and tasks to ensure completion within SLA.
Qualifications:
  1. Relevant degree or qualification.
Knowledge:
  1. Desirable: A working knowledge of managing M&E and cyclical programmes of work, with a good understanding of current regulations.
Experience:
  1. Experience of using and updating CAFM or asset management systems.
  2. Previous experience in a senior administrative or coordinator role, ideally within the property management sector.
  3. Experience and/or qualifications in asset compliance fields, desirable.
  4. Experience within a local authority or education sector, desirable.
Skills and Abilities:
  1. Skilled in the use of Microsoft Word, Excel, and Outlook.
  2. Good communication and customer skills.
  3. Ability to establish good working relationships with Clients and colleagues.
  4. Self-motivated and able to work with minimal supervision.
  5. Ability to prioritise and work to deadlines.
