Job Description:

We are seeking a highly organized and detail-oriented Financial Operations Coordinator to join our team at Tate. As a key member of our Professional Services team, you will provide administrative support to the Finance and Research Manager, ensuring the smooth operation of departmental finances and research grants.

Key Responsibilities:

  • Support the day-to-day financial processes within the department, utilizing our clients' finance systems.
  • Liaise with central teams regarding finance and research administration.
  • Assist with grant applications and administration of successful grants.
  • Process interdepartmental transfers in liaison with relevant staff.
  • Raise requisitions, purchase orders, and invoices, and receipt goods.
  • Set up new suppliers, acting as a liaison between the prospective suppliers and Procurement.
  • Administer successful grants, including ordering equipment and booking travel and accommodation, coordinating timesheets, and recording and monitoring costs.
  • Service the Departmental Research Committee, with support from the Finance and Research Manager.
  • Assist the Finance and Research Manager and other staff with financial processes related to month end and year end tasks.
  • Support staff, students, and visitors with booking accommodation and travel, and equipment purchases.
  • Support staff to process and monitor expense claims in line with policies.
  • Process student fees, studentships, and stipends using the Student Records System.

Requirements:

  • Financial Administration experience.
  • Experience in supporting members of staff with expense claims, setting up new suppliers, and raising purchase orders.
