About the Role

This is a newly created Team Assistant role which will involve providing support to a team of executives and other stakeholders. The successful candidate will be responsible for:

  • Diary Management: Coordinating and managing the diaries of team members and executives, ensuring that all appointments and meetings are scheduled and confirmed.
  • Travel Arrangements: Booking travel arrangements, including flights, hotels, and ground transfers, for team members and executives.
  • Expense Processing: Processing expenses for team members and executives, ensuring that all receipts and invoices are accurately recorded and reimbursed.
  • Reception Duties: Providing reception services, including answering phones and responding to emails, when the receptionist is away from their desk.
  • Post and Courier Management: Sorting and distributing post, and liaising with the ground floor reception on courier deliveries.
  • Team Events: Coordinating and organizing team events, including weekly team breakfasts.
  • Administrative Support: Providing administrative support to the wider team, including data entry, filing, and other tasks as required.

Candidate Specification

We are seeking a highly skilled and experienced Team Assistant to join our team. The ideal candidate will have:

  • Previous Experience: Previous experience in a corporate environment, preferably in the financial or professional services sector.
  • Diary Management Experience: Previous experience in diary management, including coordinating and managing diaries for multiple stakeholders.
  • Administrative Skills: Strong administrative and organizational skills, including data entry, filing, and other tasks.
  • Communication Skills: Excellent written and verbal communication skills, including the ability to communicate effectively with team members, executives, and other stakeholders.
  • Problem-Solving Skills: Strong problem-solving skills, including the ability to think critically and resolve complex issues.
