Purchase Ledger Executive Job Description

Adele Carr Recruitment is seeking a detail-oriented and organized Purchase Ledger Executive to join a finance team. In this role, you will be responsible for the accurate and timely processing of invoices, maintaining accurate ledger accounts, and ensuring all supplier liabilities are captured and paid in accordance with agreed terms.

Key Responsibilities:
  • Ensure accurate data entry and analysis within the Purchase Ledger.
  • Perform regular supplier statement reconciliations and resolve supplier account queries promptly.
  • Manage incoming and outgoing queries via the internal Query Management System.
  • Ensure timely payment authorisations for all expenditure items in line with company policy.
  • Monitor and resolve aged debts in a timely manner.
  • Oversee property-related costs and ensure obligations under leases are met.
  • Process personal expense claims in line with company policy and ensure prompt payment.
  • Support the Management Accounts team with supplier or ledger account analysis.
  • Accurately post VAT transactions and assist with quarterly VAT claims.
  • Assist in reviewing suppliers to support the company's procurement policies.
  • Provide guidance on expenses and procurement policies to colleagues.
  • Contribute to the continuous improvement of finance processes.
Requirements:
  • Experience in a similar purchase ledger or accounts payable role.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and within a team.
  • Excellent communication skills for managing internal and external queries.
  • Knowledge of VAT processing and financial systems is desirable.
