Sales and Operations Coordinator

We are seeking a highly organized and detail-oriented Sales Administrator to join our team. As the Sales Administrator, you will be responsible for supporting our sales and operations functions, ensuring smooth day-to-day operations and contributing to business growth.
Key Responsibilities:- Process customer sales orders and handle order administration, ensuring timely and accurate processing.
- Generate invoices using our financial management system, maintaining accurate records and timely payment.
- Coordinate with third-party logistics for order delivery, resolving logistical issues and ensuring timely product delivery to customer depots.
- Assist the sales team in managing ecommerce and Amazon orders, overseeing stock levels and reporting, to aid in production planning and inventory management.
- Provide exceptional customer support for ecommerce and clients, responding to inquiries and resolving issues in a timely and professional manner.
- Coordinate with supply chain teams to ensure timely product delivery to customer depots, maintaining strong relationships and communication.
- Oversee customer accounts, invoices, and payments, ensuring accurate and timely processing.
- Maintain up-to-date customer sales data and forecasts to aid in production planning and inventory management.
- Manage the dispatch of product samples to customers, ensuring timely and accurate delivery.
- Update and maintain customer details within the CRM system, ensuring accurate and up-to-date information.
- Oversee office facilities, ensuring a safe and efficient working environment.
- Assist with warehouse duties as needed, supporting the operations team in maintaining a smooth and efficient workflow.
- Support the administration of standard operating procedures, ensuring compliance and adherence to company policies.
- Participate in ad-hoc projects as they arise, demonstrating flexibility and a proactive mindset.
- Provide coverage for Sales and Operations teams when colleagues are on leave, ensuring seamless continuity and support.
About You
- Experience in customer service or sales support within an office environment, with a proven track record of success.
- Proficiency in Google Sheets, Xero, and Microsoft Excel, with the ability to learn and adapt to new systems and technologies.
- Detail-oriented problem-solver with a proactive mindset, able to think critically and resolve complex issues.
- Flexible and willing to take on tasks outside of the core role, demonstrating a strong work ethic and commitment to the company's success.
- Positive, can-do attitude and a strong team player who is also self-motivated, with a passion for delivering exceptional results.
