Job Overview

We are seeking a highly motivated and flexible individual to join our Regional Planning team based in the Regional Operational Coordinating Centre (ROCC) at Parkway, Manchester.

The successful candidate will provide comprehensive administrative support, including managing daily post, emails, and typing, as well as preparing routine correspondence and reports.

In addition, the role will provide cover for the ROCC Manager and RHCD Coordinator as required, proactively monitoring Acute Trust capacity and serving as a single point of contact for the wider health economy.

Main Duties of the Job

The successful candidate will be responsible for:

  • Maintaining staffing levels within the department, allowing for annual leave and sickness.
  • Undertaking specific projects and tasks, including information collection and report preparation for the Regional Planning Department.
  • Ensuring confidentiality and security of information at all times.
  • Acting up as ROCC Manager as required.
  • Coordinating meetings, workshops, and events, including agendas.
  • Coordinating financial and procurement activities associated with the work of the Regional Planning team.

Our highly skilled staff provide life-saving care to patients in the community and transport people to hospital or a place of care if needed.

We also provide non-emergency patient transport services for patients who require non-emergency transport to and from hospital and are unable to travel unaided due to their medical condition or clinical need.

Alongside other emergency services, we work to ensure public safety and patient treatment in the event of a major incident.

We also deliver the NHS 111 service in the North West, providing non-emergency medical help fast and available 24/7.

  • Excellent knowledge and experience of IT systems, particularly Microsoft Office software packages.

  • Excellent administration and organisational skills, with attention to detail and accuracy.
  • Ability to work on a range of tasks simultaneously and organise/prioritise work appropriately.
  • Ability to work unsupervised, on own initiative, under pressure, and to deadlines.
  • Good communication skills, to work with staff at all levels of the organisation.
  • Ability to record minutes of meetings.
  • Excellent IT skills, including the ability to complete audio typing.
  • Ability to deal with sensitive and confidential information.
  • Tact and good interpersonal skills, with the ability to maintain a high standard of diplomacy and confidentiality.
  • Ability to work within a team and on own initiative.
  • Ability to work with a degree of flexibility and adaptability.

Knowledge and Experience

  • C3 Familiarisation.
  • An understanding of Capacity Management Systems.
  • Dealing with varying levels of staff within the Wider Health Economy during times of increased demand/pressure.
  • Active involvement/understanding of roles within Major Incident.
  • 6 months Operational or EOC experience.
  • Proven experience as a secretary/PA.
  • Experience of handling general enquiries by telephone or e-mail.
  • Experience of handling confidential information.
