Job Purpose

To provide a high-quality, client-focused service on matters relating to UK Visas and Immigration (UKVI) duties. The successful candidate will be responsible for planning, coordinating, and implementing all UKVI-related activities and initiatives.

Main Duties and Responsibilities
  1. Provide expert advice and guidance on UKVI policy, legislation, and procedures to staff at all levels. Liaise with colleagues to resolve issues and provide detailed, accessible information on the University's UKVI process and compliance requirements.
  2. Maintain a thorough understanding of policies, issues, and legislation relating to staff immigration categories to provide accurate information as needed.
  3. Ensure timely processing of all relevant UKVI-related employee lifecycle requirements, updating the Core/HR Payroll System accurately and notifying the Home Office of contractual changes as necessary.
  4. Liaise with P&OD Teams to ensure visa processing by UKVI Hub in advance of expiry and support the resolution of immigration issues arising with managers and employees.
  5. Identify matters requiring senior input, providing background information, briefing, and recommending suitable courses of action to assist in timeous processing.
  6. Manage the Home Office's Sponsor Management System (SMS) as a Level 1 user.
  7. Maintain accurate electronic files, adhering to Data Protection/GDPR and Home Office requirements, and ensuring information is easily retrievable and properly maintained.
  8. Conduct statistical work, including HR system reports for various stakeholders, and take action as necessary.
  9. Develop expertise in the Core/HR Payroll System to support visa compliance.
  10. Provide general administrative assistance for the UKVI Hub on a day-to-day basis.
  11. Assist in establishing and monitoring policies and procedures relating to immigration and visas.
  12. Maintain an effective network with P&OD teams across the University to support delivery of the P&OD function and foster best practice.
Knowledge, Qualifications, Skills, and Experience

Essential:

  • A1: Competencies required for this level of post, acquired through experience in a similar role or relevant qualifications.
  • A2: Up-to-date working knowledge of UKVI legislation and best practice.

Desirable:

  • B1: Knowledge of University policies and procedures, legislation, best practice, custom, and practice, terms and conditions of employment, and service standards.
  • B2: Certificate in HR Practice or working towards CIPD membership through ongoing professional development or completion of a relevant HR degree qualification.
Skills
  • C1: Excellent verbal communication and interpersonal skills, with tact, diplomacy, discretion, assertiveness, and ability to handle difficult or sensitive situations.
  • C2: Good standard of written English, with ability to draft correspondence, notes of meetings, and reports.

Terms and Conditions

This post is full-time (35 hours per week) and open-ended. The salary will be Grade 5, £25,138 - £29,605 per annum.
