Job Title: Estates Coordinator

We're looking for a highly organized and detail-oriented Estates Coordinator to join our team at Evri. As an Estates Coordinator, you will play a crucial role in providing administrative and payment management support to our surveyors within the Estates team.

Key Responsibilities:
  • Collate and process invoices for rent, service charge, and insurance from landlords and/or respective agents, identifying discrepancies and raising management concerns with surveyors.
  • Record and reconcile all invoices received, ensuring accuracy and matching the Property Master Schedule and Repeat Payable Schedule.
  • Direct Accounts to ensure accurate and timely payments, including regular periodic monthly and quarterly payments, and notify them of any changes.
  • Maintain an accurate and up-to-date Repeat Payment Schedule and issue it periodically to Accounts.
  • Review regular periodic payments, including monthly and quarterly, prior to authorization by the relevant surveyor and coordinate with Accounts to process.
  • Develop and maintain good working relations with landlords and their agents, ensuring compliant invoicing and necessary information is provided.
  • Proactively review service charge budgets and year-end reconciliation certificates, seeking refunds as appropriate and highlighting significant variations to surveyors.
  • Store all relevant invoices and supporting information in a logical and easily retrievable manner for future reference.
  • Liaise with recovery agents and arrange for expeditious payments where required.
  • Secure refunds where appropriate, such as on rates relief or mitigation.
  • Coordinate recovery on double insurance paid due to changes of landlord.
  • Assist surveyors in resolving management issues as needed.
Requirements:
  • GCSE or above in Maths and English (or equivalent standard)
  • Proficiency in Microsoft Office
  • Excellent communication and interpersonal skills
  • Strong organizational and management skills
  • Critical thinking and problem-solving skills
  • Ability to communicate at management level with surveyors and understand detailed information
  • Experience working with accounts and property-related accounts
  • Experience working with surveyors and records maintenance
