We are seeking a highly skilled Senior Contract Administrator to join our team at Corrigenda Group Limited. As a key member of our administration team, you will play a vital role in the successful running of our local maintenance contract with the University of Portsmouth.
Key Responsibilities:
- Ensure accurate and timely updates to client database systems, maintaining the highest level of data integrity.
- Manage aged jobs, collaborating with the Management team to ensure all tasks are progressing and communicating regularly with clients.
- Develop and maintain strong relationships with clients, providing exceptional administration support for their contracts.
- Facilitate effective communication between management, helpdesk staff, and colleagues, ensuring seamless collaboration.
- Proactively chase outstanding purchase orders from clients, providing updates to both clients and the Contract Management team.
- Prepare and deliver monthly/quarterly client reports, highlighting key performance indicators and service level agreements.
- Monitor and ensure contract KPIs and SLAs are met, identifying areas for improvement and escalating to the Contract Manager as necessary.
- Work closely with subcontractors to obtain updates and scheduled attendance dates, ensuring accurate recording within systems.
- Process client requests within the system, progressing them efficiently and effectively.
- Seek and respond to customer feedback, ensuring a high level of client satisfaction.
- Ensure helpdesk phone calls are answered promptly, providing a positive first impression for clients.
- Collaborate with the Business Support Manager to analyze performance statistics for the administration team, identifying areas for improvement and implementing changes.
- Act as an escalation point for the helpdesk team, addressing administration and contract-related queries.
- Provide mentorship to apprentices within the administration team, supporting their development and growth.
- Contribute to process improvements, suggesting new procedures and developing them in collaboration with the team.
- Serve as a systems super user, providing support and training to the team on Microsoft operating systems and applications.
- Foster a positive and motivated team environment, promoting high morale and enthusiasm among team members.
- Work with the Business Support Manager to ensure the helpdesk team has adequate coverage during periods of sickness and holiday.
- Perform general administrative duties as required.
Requirements:
- Proven experience in service delivery with a strong customer service focus.
- Excellent communication skills, with the ability to interact effectively at all levels.
- A flexible and proactive attitude, with the ability to prioritize workload and adapt to changing circumstances.
- Strong written and verbal communication skills, with the ability to guide others on Microsoft operating systems and applications.
- Able to work independently and as part of a team, with a high level of attention to detail.
